Data Ownership

Data Ownership: For organizational accounts, data ownership belongs to the Organization or School District that is the account holder and signed up for eKadence services. For users who sign up with private accounts directly, they retain ownership of their personal data. In both cases, eKadence acts as a processor of the data to deliver our educational services and does not claim ownership over any personal information submitted to our platform.

“Personal Information” refers to any data that identifies you as an individual or relates to an identifiable person.

Note: Schools, districts, or teachers must obtain parental consent for students under 13 before using the Site. Minor students’ personal information is collected only when their institution contracts with eKadence, ensuring this data remains within the educational context.

Other Information

We collect data to improve our services, such as IP addresses, browser types, ISP information, and clickstream data. Tracking technologies (e.g., cookies) help us analyze trends and manage user sessions. This data may be linked to Personal Information and is not shared with third parties outside the scope outlined in this policy.

Third Party Responsibility

Third Party Links and Services: Users on eKadence may create content containing links to external websites or services not operated by eKadence. Data Retention Policy

Data Retention: We retain personal information for a maximum of 7 years from the date of account closure or last activity, unless a shorter retention period is required by applicable law or contractual obligation. For active accounts, we retain data as necessary to provide services. Users can request data deletion at any time through their school administrator or by contacting support@eKadence.com. Upon request, we will delete personal data within 30 days, except where retention is required for legal compliance, dispute resolution, or enforcement of agreements.

Cookies and Tracking Technologies: We use essential cookies that are crucial for basic app functionality, including user authentication, session management, and security features. These essential cookies cannot be disabled as they are necessary for the platform to operate properly. We also use optional analytics cookies to improve user experience and platform performance. Artificial Intelligence (AI) Usage and Data Practices

AI Usage Disclosure (AI1): eKadence Learning Foundation utilizes artificial intelligence technologies within our educational platform to enhance learning experiences, provide personalized content recommendations, assist with automated grading, generate educational content, and support natural language interactions for educational purposes.

User Control Over AI Features (AI2): Users have full control over AI feature usage. All AI-powered features are opt-in by default, meaning users must actively choose to enable AI functionality. Users can:

  • Enable or disable AI features through their account settings
  • Choose which specific AI features to use (content generation, personalized recommendations, automated assessment, etc.)
  • Modify their AI preferences at any time
  • For organizational accounts, administrators can control AI feature availability for their users

AI Technology Source (AI3): eKadence uses a combination of internal AI systems and third-party AI services. When third-party AI services are utilized:

  • Users are clearly notified which features use third-party AI services
  • We have opted out of all third-party AI service providers’ data retention and model training programs
  • User data is not shared with third-party AI providers for their own model improvement or commercial purposes
  • Third-party AI processing is conducted under strict data processing agreements that ensure data protection

AI Training Data Sources (AI4): Our internal AI models are trained exclusively using:

  • Publicly available educational content with appropriate licensing
  • Anonymous data that cannot be traced back to individual users
  • Data for which eKadence has explicit permission to use within our closed educational system
  • No personal student data, identifiable information, or proprietary content from users is included in our training corpus

AI Model Improvement Process (AI5): We improve our AI systems through the following privacy-preserving methods:

  • Prompt Data Anonymization: Before any user interaction data is used for analysis, it undergoes a comprehensive anonymization process that removes all personally identifiable information, user names, school identifiers, and any content that could be traced back to specific individuals or institutions
  • Feedback-Only Training: User prompt data (questions, inputs, conversations) is never used directly to train or improve AI models. Only anonymized feedback data (such as user ratings of AI responses, success metrics, and general usage patterns) may be used for model improvement
  • Aggregated Analytics: We may use aggregated, anonymized usage statistics to understand how AI features perform overall, but individual user interactions remain private
  • Opt-Out Options: Users can opt out of having their anonymized feedback data used for model improvement purposes

AI Data Processing Rights: Users maintaining control over AI-related data processing can:

  • Request deletion of AI interaction history
  • Opt out of anonymized feedback data usage for model improvement
  • Access information about which AI features have processed their data
  • Receive details about third-party AI services used in their account

8. Parental Rights

Parents can access, review, or request the deletion of their child’s information by contacting their school administrator or, for free account users, by reaching out to eKadence support.

Parents have the right to refuse the site further contact with their child and to have access to their child’s information and to have it deleted by contacting the school administrator.

Parents have the right to consent to the site’s use of the child’s personal information without having to consent to its disclosure of that information to third parties by contacting the school administrator.

Advertising and Third-Party Tracking

Third-Party Advertising Tracking: Some third-party service providers we work with may collect or track user information for advertising purposes. You have the option to opt out of this data collection by contacting us at support@eKadence.com or through the privacy settings in your account dashboard.

Tracking Methods for Advertising: We use web beacons, pixels, and similar tracking technologies strictly for app functionality purposes, including user analytics, performance monitoring, and service improvement. We do not use these technologies for targeted advertising. Any tracking is limited to what is necessary for the educational platform to function effectively.

Opt-Out Rights: Users can opt out of sharing data with advertising partners and third-party analytics services. To exercise your opt-out rights:

  • For students under 13, parents must contact the school administrator to manage opt-out preferences

Please note that opting out of certain data sharing may limit some platform features, but core educational functionality will remain available.

9. Internet Privacy & Security

eKadence and associated institutions collaborate to protect user data, including students. While we implement encryption and secure systems, perfect security cannot be guaranteed, and users acknowledge this risk.

10. Changes to the Privacy Policy

We reserve the right to modify this Privacy Policy. Updates will be posted on our Site, and significant changes will be communicated through email and on the home page. Parents will be notified if changes impact the collection of children’s data.

11. Disclosure in Business Transfers

In the event of business transfers (e.g., mergers, acquisitions), your information may be transferred as part of business assets. If this happens, we will notify affected users and provide them the opportunity to opt into any new practices.

12. Links to Other Sites
